OSHA Outreach Training Program Assistant

The OSHA Training Institute Education Center, a satellite operation located in Manchester, NH 60 miles from its administrative support unit located at Keene State College, is seeking an OSHA Outreach Training Program Assistant. The OSHA Education Center is a fully self-sufficient business unit for registration and curriculum management and complies with all OSHA requirements and student confirmation, invoicing and receipts. This position is the primary contact for all Outreach Trainers in the Boston Region which includes all six New England states and is responsible for oversight and management of the electronic portal that facilitates receipt of Outreach Training report forms and issuance of required training reports and documentation, and US Department of Labor cards for 10 and 30 hour OSHA Outreach courses for Construction, General Industry, Maritime and Disaster Site Workers. Provides leadership and support to Outreach Trainers, reviews class records for complete and accurate documentation. Verifies records to ensure collection of Dept of Labor card fee via the electronic portal by credit card payment. Responsible for valid reissuing of replacement cards for lost and stolen DOL cards. Resolves outreach trainer questions and provides in class training for new and updating OSHA Outreach Trainers. Proficiency required in MS Access, Excel, and Outlook. This is a full-time, 37.5 hour, benefited position.

Job Duties and Responsibilities

  1. Conducting Outreach Trainer group records audits, individual Outreach Program Report audits, and on-site training observations per OSHA Outreach Training Program Requirements.
  2. Reviews trainer's Advance Notification of classes - including scheduling of upcoming classes, reviewing trainer's curriculum for accuracy, and assuring that the OSHA requirements are being met.
  3. Responsible for keeping current with technical updates of the Outreach portal.
  4. Responsible for maintaining, updating and reporting monthly to OSHA DTE. These monthly reports include numbers of students taught by industry; required summaries of monitoring visits; classroom record audits and individual records audits.
  5. Serves as supervisory contact in this function for 1500+ Outreach Trainers training over 30,000 people a year
  6. Direct Customer service and supervision to OSHA Outreach Trainers regarding the portal usage and frequently asked questions via phones and emails.
  7. Serve as the point person for federal DOL OSHA accountable for audits supporting the Program Director to provide full and accurate information in the event of federal OSHA or solicitor investigations., Maintains card count inventory for Outreach Trainer Cards
  8. Organizes and maintains all trainers' course records for a period of 5 years.
  9. Generates and submits monthly reports to USDOL OSHA Directorate of Training and Education.
  10. Assists with evaluating background experiences for enrollment in Outreach Trainer courses., Conducts 200+ records audits of Outreach Trainer's course documentation and rosters, per USDOL OSHA program requirements.
  11. Audits Outreach Trainers compliance with policy and procedures.
  12. Educates new and updating outreach trainers through classroom presentations.
  13. Coordinates on-site outreach observations, and Outreach Training Program Reports reviews.

Minimum Qualifications:

  • High school graduation and five years of related experience involving progressive responsible duties requiring discretion and independent judgment or Associate's Degree and three years of related experience or a combination of higher education and related experience equal to five years.
  • Excellent customer service skills, attention to detail, and ability to work collaboratively within a team environment.

Preferred Qualifications

  • Bachelor's degree
  • Completion of courses in related subjects at the college/university level
  • Experience in a college/university work environment.
  • Experience in a professional training/education work environment
  • Experience with registration software and other databases
  • Ability to work with internal and external customers
  • Familiarity with Microsoft Office Suite.
