We are looking for a skilled Records Manager to join our team on a contract basis in Cambridge, Massachusetts. This role involves ensuring compliance with the Massachusetts Public Records Law while facilitating public access to records in alignment with legal requirements and organizational policies. The ideal candidate will play a pivotal role in managing public records requests, developing guidelines, and supporting city staff in adhering to records laws and procedures.

Responsibilities:
• Coordinate responses to public records requests by documenting submissions, preparing cost estimates, and ensuring timely communication with requestors.
• Assist attorneys with reviewing, redacting, and withholding exempt or privileged information in compliance with applicable laws.
• Monitor legal proceedings related to public records appeals and prepare petitions for extensions or fee approvals as needed.
• Educate city staff on the requirements of the Public Records Law and provide guidance on preserving and accessing records.
• Review updates to public records laws and propose necessary adjustments to policies and procedures.
• Prepare detailed statistical reports regarding public records requests and ensure submission aligns with legal or policy requirements.
• Collaborate with the IT department to maintain a searchable web-based index of public records.
• Draft business correspondence, including legal documents and letters, in response to records requests.
• Provide general office support as assigned by the City Solicitor or Public Records Access Officer.• Proven experience in auditing, compliance, or records management.
• Strong ability to draft legal documents and correspondence with accuracy and attention to detail.
• Proficiency in preparing detailed reports and maintaining statistical data.
• Familiarity with Massachusetts Public Records Law and related regulations.
• Excellent organizational skills with the ability to manage multiple tasks and deadlines.
• Effective communication skills to assist staff and interact with requestors.
• Competence in using web-based systems and collaborating with IT teams.
• Bachelor’s degree in a related field or equivalent relevant experience preferred.
